There is more to being a landlord than just collecting payments for the rent. Being a landlord also poses a lot of responsibilities. First, he has to make sure that the property he owns provide a suitable living space for the renters. In addition to that, he has to abide with the rules set for the landlord and tenants. He should also be aware of the different rules of the homeowner’s association in the neighborhood. Most importantly, he has to handle complaints of his tenants.
Although tenants do not own the property, they enjoy a lot of benefits. They do not have to regularly maintain the property. They are responsible for the major repairs in the property as well. In some instances, the utility expenses are part of their monthly rent payment so they do not have to worry about it at all. Additionally, they can complain to the property owner whenever there is something wrong with their property. There are some limitations to this though.
How should a property owner handle such complaints? In order to handle the complaints made by the different tenants, the property owner should follow a system. Being organized is very important as this allows this to check all the complaints in a timely manner. To do this, the filing of the complaint should be included in the rental agreement. If the tenant wants to report something to the property owner, he should know what steps to take. It would be best if the property owner lets, his renters know about his responsibilities and what he can do for them. The landlord cannot be responsible for everything especially if the tenants caused the problems.
You need to have a form that your tenant should fill if they have a complaint. The form will serve as your record. It should contain the details of the complain such as the date, the problem and other related information. This will give you an idea of what the issue is deal with and respond accordingly. This will also serve as your reference in the future.
As soon as you get the complaint, inform your tenant that you received the complaint. This way, they are aware that you are dealing with it, if you can handle the issue right away, then do so. If it is the electrical system, then send an electrician. However, you cannot always respond as soon as you want to. Once this happens, inform your tenants. Explain to them why you cannot respond to their request right away. Since this can be uncomfortable for your tenants, offer something to them like a discount or rebates on the rent.
It can be difficult to handle tenants’ complaints especially if you are managing several properties. However, it can be done with a little organization. See to it that you have a system in receiving and responding to complaints. This will allow you to sort out the different issues, prioritize and act accordingly. You will also have fewer problems if you monitor your properties regularly. Your properties should undergo regular maintenance to reduce the risk of having problems.
